Team
Everyone working for your company, their rates, their access to the rest of Tradentrix, and any time they've had off.
The team list
Shows how many of your plan's user allowance you're using, and every member's name, role, job title, how many jobs they're assigned, when they joined and their status. "Invite team member" adds someone new, this is hidden once you've reached your plan's user limit, with a note to upgrade instead.
Inviting a team member
The invite form covers their first and last name, email, an optional job title, and:
- Billing mode: Day rate or Hourly rate, which then shows a cost rate and a charge rate. Cost rate is what this person costs the business, charge rate is what's billed to customers for their time.
- Schedule: Fixed weekly schedule or Variable schedule.
- Paid absence: an optional checkbox. If ticked, their day rate is counted as a labour cost on the days they're marked absent.
- Access: set what they can see and do in each area of Tradentrix (Jobs, Customers, Calendar, Finance, Reports, Documents, Team), the same No access / View only / View & edit choices as the default in Settings, but specific to this person.
"Send invitation" emails them a link to set their own password and get started.
The team member page
Opening a team member brings together everything about them.
Role and job title
Admins can update someone's job title at any time, and change their role between Member and Admin.
Rates
Cost rate and charge rate, set up the same way as at invite time. These are private to the owner, Admins can't see or edit another team member's rates, only their own if they happen to be the owner.
Access
The owner can override this person's access to each module individually here, separate from the company-wide default set in Settings. Also owner only.
Absences
Admins can log time off with "Log absence": a start date, end date and an optional note. Every entry is listed with edit and delete options. If "Paid absence" is switched on for that person, these dates feed into their labour cost, and show up as their own "Absence" category in the Reports Finance tab's cost breakdown.
Removing a team member
"Remove" deletes their account permanently, it can't be undone. Their jobs become unassigned rather than staying stuck with them, and the "created by" on anything they made is cleared rather than kept, so plan for that before removing someone.
