Estimates

Estimates let you quote a customer before any work is booked in, and can be converted straight into an invoice once accepted.

The estimates list

Estimates live on the Finance page, under the Estimates tab, alongside Invoices. Each row shows the reference, customer, linked job (if any), status, total and valid until date, with a "View" button through to the full estimate. Search by reference or customer, filter by status (Draft, Sent, Accepted, Declined, Expired), and choose how many results to show per page.

Creating an estimate

"New estimate" opens a form with:

  • Customer: search for and select who the estimate is for.
  • Link to a job (optional): once a customer is picked, you can attach one of their jobs. This isn't required, an estimate can stand on its own, but it's needed later if you want to convert the estimate into an invoice. Linking a job also shows its labour, material and travel cost as a reference while you quote.
  • Estimate date: defaults to today, but can be backdated if you're catching up on paperwork.
  • Valid until: the date the quote expires.
  • Line items: add as many rows as you need, each with a description, quantity, price and VAT rate. The VAT rate field only appears if the "VAT registered" toggle is switched on under Settings, in the Invoicing tab, so switch that on first if you charge VAT. Turning it on also adds a VAT reading to the summary below, and does the same on invoices. A line total and an overall subtotal, discount, VAT total and estimate total are all calculated for you as you go.
  • Notes and an optional discount, either a fixed amount or a percentage.

"Save as draft" keeps it internal until you're ready, or "Create & send" emails it to the customer straight away.

Estimate status

An estimate moves through Draft, Sent, Accepted, Declined and Expired. A draft can be marked as sent or edited. Once sent, you can mark it accepted or declined based on what the customer tells you, or resend it if they need another copy. Any estimate that hasn't reached a final state can be marked expired once its valid until date has passed.

If a customer changes their mind after accepting, and it hasn't already been converted to an invoice, you can still cancel it from the estimate page.

Resending with a custom message

"Resend" opens a form pre-filled with a suggested reminder message mentioning the estimate reference and amount. Edit it or replace it entirely before sending, nothing is saved beyond that email, so resend as many times as you like with whatever wording fits.

The estimate page

Shows the reference, status, customer, estimate date, valid until date and who created it, plus a "Download PDF" button. Below that, the line items, totals, any documents attached and notes. If no job is linked yet, you can attach one from here (still limited to the same customer's jobs). Editing reuses the same customer, line items, notes and discount layout as the create form.

Once an estimate is accepted and has a linked job, a "Convert to invoice" button appears. This creates a new invoice from the estimate's line items and takes you straight to it, ready to send. After conversion, the estimate links back to that invoice instead.

Documents and QuickBooks

Estimates support the same default and per-estimate document attachments as invoices, and sync to QuickBooks the same way too, including a manual "Sync to QuickBooks" button on the estimate page. See the Invoices guide for the full details, both work identically here.
