Customer Portal

A separate, passwordless site where your customers can check in on their own jobs, respond to estimates, and message you directly, without needing an account or password of their own.

How customers log in

There's no password to remember. Every invoice and estimate email already includes a personal login link, so most customers never need to do anything extra, they just click straight in. If a customer wants to check the portal on their own, they can also enter their email on your company's portal login page and get a one-time login link, valid for 20 minutes.

What customers can see and do

Once logged in, a customer sees every job that's ever been assigned to them, not just the current one, with its status and schedule. That includes past and cancelled jobs alongside anything upcoming, nothing is hidden or filtered out. Opening a job shows:

  • Estimates: the full line items and total. If an estimate is still awaiting a response, the customer can Accept or Decline it themselves, updating the status straight away.
  • Invoices: line items, total, due date and any documents attached, like your terms or an H&S policy. If part of an invoice has been credited, the credited amount and remaining balance due show here too. Invoices and estimates can both be downloaded as a PDF straight from the portal, and a sent invoice shows your bank details so the customer knows how to pay. There's no online payment through the portal itself, customers still pay you the way you've already got set up.
  • Messages: a two-way conversation tied to that job, with the option to attach a file. This is the same thread that shows as "Customer messages" on the job page in your dashboard.

Recurring invoices in the portal

For jobs on a recurring invoicing schedule, every automatically generated invoice lands on that same job's Invoices list, so the history simply builds up over time rather than being replaced. Each one arrives as its own email with its own portal link too, so the customer always gets a fresh notification and a direct route in when a new invoice goes out. There's nothing in the portal that marks an invoice as "recurring", they just appear as ordinary invoices, one per billing cycle.

Turning it on

Customer messaging is a plan feature rather than a switch you toggle yourself, it's included from the Professional plan upwards. If your plan supports it, the messaging panel appears automatically on your jobs and in the portal. The rest of the portal (job list, estimates, invoices) is available regardless of plan.
